What's NEXT?

NEXT is Business Design software trusted by high performing organizations. Rooted in design thinking and lean methods, NEXT helps clients engage, empower, and cross-functionally align their workforce to:

NEXT has codified the methods and principles of design [thinking] into a step-by-step process. We augmented the process with embedded learning (videos, content, templates, and more) to skill-up and support users in their practice of design [thinking]. And automated everything with software that serves as a system of record for all your data, reports, and analytics needs.

What's an Admin?

Admins have super powers in NEXT, which allows them to set access/invitation parameters, manage users and roles, manage the branding, customize the process, and default settings - such as language. Super powers can be put to use in the Admin app.

Before you can get started with NEXT, you first have to get access and set up your profile.

Access NEXT

  1. Go to https://[company_name].nextapp.co/ (e.g. https://mycompany.nextapp.co/)
  2. Sign in with the credentials provided to you earlier

Access the Admin App

You can access the Admin app by following these steps:

  1. Click on your name in the upper-left corner of NEXT
  2. Click on "Admin Settings"
  3. Your browser will open the Admin App
  4. Log in with your NEXT credentials and you'll end up in the NEXT Admin app
  5. On the left-hand navigation you see all your super powers, on the right you get an overview of all users in the "Manage people" section

Now you're all set up and ready to get started!

In the manage people section you can do everything necessary to "run a clean ship". It allows you to search users, add users, change user-rights and more.

Add users

To add a user to your organization's NEXT app:

  1. Click on the button "Add User"
  2. Enter the email addresses from everyone you want to add (separate them by a ",")

  1. After you've added a user, search the users by typing their name in the search bar
  2. The user you're looking for will show up on the screen, allowing you to view the Name, Account Type, Status and Last Login

Appoint Champion

As NEXT grows within your organization, and more and more teams adopt NEXT, you need more Champions like yourself to facilitate the process. In order to appoint new Champions in NEXT you need to give the user super powers ("Admin" rights):

  1. Search the user you want to appoint as a Champion (Admin)
  2. Click on the "..." button behind the user's name and click on "Change to Admin"

Downgrade to Guest

In some cases, you might want to add users to NEXT with "Guest" access rights. To do so:

  1. Search the user you want to downgrade to "Guest User"
  2. Click on the "..." button behind the user's name
  3. Click on "Change to Guest User"

Deactivate user

When someone leaves your organization, you want to make sure they cannot access NEXT any longer. Therefore, you can deactivate users:

  1. Search for the user(s) you want to deactivate
  2. Click on the "..." behind their name
  3. Click on "Deactivate account"

Resend invitation email

Sometimes it happens that a user you invited cannot find his or her invitation email back. In this case, you can easily resend the invitation:

  1. Search for the user by typing the user's email address in the search bar
  2. Click on the "..." button behind the name
  3. Click on "Resend invitation email"

Check user activity

Finally, the "Manage people" section in the Admin app allows you to keep track of user activity on a high level. For instance, you can see whether a user has already logged in and when the last log-in has been.

  1. Search for the user you're curious about
  2. Check what's written behind the user's name in the "Last login" column

Export users to Excel

To allow you to manage NEXT users the way you want and make your own activity dashboards, NEXT allows you to export users to Excel:

  1. Open the Admin app and navigate to "Manage people"
  2. Click on "Export to Excel" in the right-upper corner of the screen

The NEXT admin app allows you to customize NEXT, to make NEXT more recognizable for people within your organization's and match your internal language.

Brand NEXT

An important part of your role as a NEXT Champion is to ensure your organizational branding, lingo and structures are aligned with NEXT. To help you do, NEXT offers customization options.

To align the NEXT with your organization's internal branding, you can change the logo and name of the application:

  1. Navigate to "Branding" in the left-hand navigation menu
  2. Change the name and logo as you wish and click "Save" when you're finished

Whitelist email domains for access

NEXT provides for safe access via whitelisting of dmains. Only users with email accounts from whitelisted domains can be invited and access NEXT. To whitelist email domains:

  1. Open the NEXT admin app (see above)
  2. Click on "Invitations" in the left-hand navigation menu
  3. Add any email domains to which you want to allow invitations to be sent from NEXT
  4. If you want to add multiple domains, separate domains by comma or new line
  5. Click "Save" in the lower-right corner of the screen when finished

Language & Regions

NEXT allows you to set a default language and timezone for your instance of NEXT:

  1. Navigate to "Language & Region" in the left-hand navigation menu in the Admin app
  2. Set the default language to your preference
  3. Search and select the right timezone for your instance
  4. Click "Save" in the lower-right corner of the screen when finished

Customize Phase names

The process we built into NEXT is based on years of research and acquired content of the best design institutions in the world. However, we understand it's important for organizations to be able to change terminology in NEXT to match their internal lingo. This enhances the adoption of NEXT within your organization and prevents any confusion. As a Champion you can customize the naming of phases in the NEXT process:

  1. Open the NEXT admin app (see above)
  2. Click on "Customization"
  3. In front of you, you'll see an overview of the process with phase names and corresponding steps
  4. Phase names can easily be changed by typing a different name in the text fields that outline the phase names (see red box in screenshot). Customizations to phase names auto-save and all changes are immediately reflected in the user interface


Customize Steps

Each phase consists of Steps. In the Step card, NEXT provides best practice tasks that guide teams through the design process. In case you have any internally developed tasks or content that you wish to make available to teams via NEXT, you can easily add them to the Step card:

  1. Click on "Customization"
  2. Click on one of the Step cards you'd like to edit in the overview page
  3. You can add "Header notes" to provide info on the Step to help guide people
  4. Hover of one of the tasks and click on the "configure" button
  5. Check the "Hide task" box if you wish to hide the task by default in every NEXT project
  6. Enter "Notes" to add additional guidelines to the standard task instructions NEXT offers

Add Task Templates

NEXT allows you to create custom templates based on existing tasks in NEXT, such as Challenge Framing or "Custom Task".

There are two types of Task templates you can create:

To create a task template, follow these steps:

  1. Open a Step card and click on "Add a task template"
  2. Choose the "Task type" you wish to configure
  3. Give the task template a name
  4. Add notes (these will be pre-populated in the "notes" section of the task whenever it gets added to a project)
  5. Add any attachments you'd like to be part of the template by default every time a users adds it to a project
  6. Click "Create" once you're finished

You're ready to put all your super powers to use to manage and modify NEXT.
